Terms & Conditions and Cancellation Policy

We know this is very formal but please take a few minutes to read through our cancellation policy and terms and conditions as they do contain important information that forms part of the contract between you and us.  At the time of booking you are deemed to have read & understood these terms & conditions.

If you are found to be in breach of any of these terms & conditions we reserve the right to cancel or curtail your stay with no refund given.

Please take the time to check your confirmation email and contact us immediately if there are any errors.  If you don’t receive an email confirmation within a few minutes of making your booking please contact us immediately.

Cancellation policy for all accommodation.


At the time of making a booking your stay is considered confirmed & the cancellation policies below come into force.  We strongly advise you take out adequate travel insurance in the event you have to cancel or curtail your stay.

Bookings made more than 8 weeks before your stay.
For bookings made more than 8 weeks before your stay we take a non-refundable 25% deposit.  
The final balance is then automatically processed 8 weeks before your stay using the card you used to pay your deposit.
We will send a payment reminder via email for the final balance payment so that you may pay using a different card if you wish.
If your card is declined we will contact you with a payment link to use an alternative card.  
If within 7 days of the final balance being due the balance is still outstanding, Aberporth Coastal Holidays will be entitled to rescind the agreement, cancel your stay & retain your deposit

Bookings made within 8 weeks of your stay.
For bookings made within 8 weeks of your stay we require payment in full.  

Cancellation fees

You may cancel your holiday in writing, via email with Aberporth Coastal Holidays at any time; however the following cancellation charges will apply and we will retain a percentage of the booking cost as outlined below

Number of full weeks before arrival that written confirmation of cancellation is received via email

More than 8 weeks  25% cancellation charge

6 to 8 weeks  50% cancellation charge

4 to 6 weeks 75% cancellation charge

Less than 4 weeks 100% cancellation charge 

Curtailment of of stay 100% cancellation charge


Administration charge 
Amendments to your booking will be made at our discretion. 
We reserve the right to levy an administration charge of £30 for amendments to your booking arrangements in addition to any other charges applicable. Amendments are not permitted within 8 weeks of your arrival date.

Transferring a booking
If you wish to transfer your booking to another person you must email us first to confirm this.  We will also need to know if any of the guests named on your booking have changed.

Aberporth Coastal Holidays Rental Terms
Our properties are for short-term, holiday rental only and for the property & duration you have booked.  They must not be used for long-term rental or be sub-let.   They must only be booked by an adult and children are not to be left unattended at anytime in either property.

Aberporth Coastal Cottage occupancy is for a maximum of four guests plus an infant (0-2 years)
Aberporth Coastal Apartment occupancy is for a maximum of two guests.

The rental of each property includes the following, in addition to the facilities listed in the welcome pack:

  • Rental of Coastal Cottage or Coastal Apartment, one parking space, use of water, electric, heating (switched off during Summer months) bedding & towels

We can provide a travel cot in Coastal Cottage but please bring along your own bedding for this.

Children are not to be left unattended in any property at any time.

Pets
Pets are not allowed in any of our properties at any time.

Check-in:
Check-in time is from 4.00pm on the day of arrival.

We have key safes for each property & will email the details for these a few days before your stay ~ please contact us if you don’t receive this email, or if you change your email address.

Check-out:
Check-out time is by 10:00am on the day of departure.

Pre-Authorisation & security deposit of £100
On the day of your stay we will pre-authorise £100 per unit of accommodation to the payment card that you used to make your booking.  If you would prefer not to use your original payment card for pre-authorisation, please contact us with alternative card details.

The pre-authorisation is a temporary hold of funds on a credit or debit card, so we recommend that a credit card be used.
The pre-authorisation is not a charge and no funds will be debited from your account; however your bank statement may show the pre-authorisation as a pending transaction. 
When you give us a credit/debit card, the pre-authorisation guarantees us that the funds are available to pay for any loss, damage or extra cleaning to your accommodation.

Loss, damage or extra cleaning to our properties
we know that accidents can happen, but if you break or damage anything including furnishings, fittings or items inside or outside of our properties please let us know immediately so that we can replace the item or fix the damage in good time before the next guests arrive.   
In addition to the cost to replace or fix something we will also charge you £12 per hour for our time to organise tradespeople & to buy replacement items. 

We expect our properties to be left as you found them, clean & tidy with all bins emptied into the outdoor bins and dishes washed, dried & put away.  Ovens, microwaves & other items we provide should be clean.
If we find this not to be the case & we have to spend over & above our normal time to clean after your stay we will charge this to you at £12 per hour.  We will also charge for any extra laundry costs or specialist cleaning costs incurred if soft furnishings,carpets etc are stained.  

Wood Burning Stove ~ Coastal Cottage only
The wood burning stove may only be used once you have read & understood the instructions we have provided in the cottage. Lit wood-burning stoves are not to be left unattended at any time and must never be operated by children.  

The wood-burning stove gets extremely hot & can cause serious burns if touched.  Always use the special gloves provided when operating and always ensure that children stay away from it and are aware of the dangers of touching it.

We will provide the first basket of logs & matches.  Once you have used these you must buy your own.  Only the logs we stipulate must be used.

Outdoor built-in barbecue ~ Coastal Cottage only
The barbecue may only be used once you have read & understood the instructions we have provided in the cottage. The use of this barbecue is at your own risk and must not be operated by children. 
You must provide your own charcoal and leave the barbecue & its utensils clean for the next guests.  Failure to do so will incur a cleaning fee of £25.


Parking
Coastal Cottage ~ There is space for two cars (one family size car & one small car) on the driveway directly in front of the cottage. 
Coastal Apartment ~ There is space for one car in front of the garage. 

Please only park within your designated space & be considerate to neighbours.  The properties are situated on a narrow, no through road so please do not block this or neighbours’ driveways.
If you have more cars than designated spaces, or if they are too large for the spaces you will have to park on the road just a short walk away (subject to space available).
Vehicles are parked at your own risk & Aberporth Coastal Holidays accept no liability for theft, loss or damage to vehicles whilst parked on our property or on the road.

Coastal Cottage Patio Area
Coastal Cottage has an outdoor patio area with a table & seating that is for their exclusive use only.  Guests of Coastal Apartment are not permitted to use this space.

Behaviour 
In order to make everyone’s stay at Aberporth Coastal Holidays enjoyable, all guests are requested to be considerate of others. 
The properties are situated in a quiet area so please be mindful of our neighbours.
Inappropriate or anti-social behaviour may lead to removal & curtailment of your stay without a refund of the rental sum or any part of it. 

Noise 
Please respect your neighbours’ privacy.  Guests are not permitted to play loud or amplified music at any time. After 10.00pm we request that all guests keep noise to a minimum. 

Parties or events are not permitted at any time.

Lost Property
Please notify us immediately if you think you have left something behind.  We will then arrange with you to have it returned & will charge your payment card for the cost of postage & packaging.  If the item is of high value, you must arrange for it’s collection & return at a time suitable to us.

We will not be responsible for any item lost or damaged in the post or left in our property.

We will keep hold of lost property for 7 days & after this time will either dispose of it or donate it to a local charity shop.

Liability 
A. Aberporth Coastal Holidays can accept no liability for theft, loss or damage, of whatever nature, during or as a result of your stay. 

B. The person who books must be aged 18 years or over assumes responsibility for any other guests within his/her party , their companions, their children  and any others invited by you or them to the site. You and all members of your party are jointly and severally responsible for all loss, damage or injury which may arise, for Aberporth Coastal Holidays, or any third party, as a direct or an indirect consequence of your party’s stay. 

C. If your accommodation or equipment is left in a poor condition resulting in additional cleaning, repair or replacement, you will be charged to cover the costs incurred. 

Force Majeure 
Where any cancellation or change to your booking results from force majeure, our liabilities are limited to offering alternative accommodation in our accommodation (where available) or a full refund. We cannot pay any compensation or meet any expenses or costs you may incur as a result of any such cancellation or change. "Force majeure" means any circumstances beyond the reasonable control of Aberporth Coastal Holidays including, without limitation, an act of God, fire, flood, natural or nuclear disaster, adverse weather conditions, war or threat of war or acts or threat of acts of terrorism. 

We reserve the right to change these terms & conditions, within reason, at any time.

All information on our website & welcome packs are provided in good faith, but errors & ommissions are accepted.

The images of our properties that we use are a true representation, but items like furnishings, bedding, curtains etc are subject to change at any time & may differ for your stay.


Complaints 
Should you find you have any complaint during your stay at Aberporth Coastal Holidays, please notify us immediately and we will do all we can to rectify the problem.  

If you do not notify us immediately, but then complain after your stay there is little we can do as we won’t have had a chance to rectify the problem.

Should you remain unsatisfied please notify us in writing within 7 days of the end of your stay. 

Disclaimer 

  • It is your responsibility to ensure you and all members of your party are familiar with our terms and conditions. 
  • It is your responsibility to ensure you and all members of your party are covered by appropriate insurance. 
  • Although every care is taken in managing the various facilities, such as wood burning stoves, outdoor areas etc, Aberporth Coastal Holidays cannot be held responsible for any loss or damage arising from any misadventure associated with any activity.
  • If booking activities through us, Aberporth Coastal Holidays is acting as agent for our partner companies who provide the activity. Any bookings will be on the partner company’s terms and conditions and Aberporth Coastal Holidays can accept no liability in relation to such activities. 
  • By completing a booking with Aberporth Coastal Holidays you agree to observe our guidance and recommendations and take full responsibility for your own safety.
  • By completing a booking with Aberporth Coastal Holidays you and all members of your party are deemed to have accepted our terms and conditions.
